Specifically developed to manage the long-term storage of the ever-growing email traffic
The Issues
Emails have now become a dominant method of business communication, but the way they are managed is often overlooked by organisations. Their growing volume imposes a strain on mail server storage – but messages must nevertheless be kept, just like any other Company Record.
Therefore a system is needed which will store, manage and allow access to emails over their lifecycle – and eventually allow for their destruction.
Leaving messages in the mail server system is generally not an option, because of the difficulty and cost of maintaining large volumes of data in that environment. Nor is it an option to leave users to ensure retention of required messages: they could delete (accidentally or deliberately) the messages that might be required subsequently for audit or legal reasons.
The Solution
It is therefore essential to capture copy messages for retention at the mail server, on their way from being sent or received – whilst allowing the emails to be delivered unimpeded.
This is what e-MARC does!
With appropriate rules in place to filter out any non-essential messages (eg newsfeeds) the email copies are passed through to a storage repository to be managed through their life-cycle. Amongst other functionality, this provides permitted access to users and alerts Administrators to delete messages at the right time.
As a result of having this separate, secure storage location for emails, System Administrators can manage the prime server storage more effectively, clearing down the mail server safe in the knowledge that copies are always available, with users having access in a similar method as before.
The primary role of this back-end management system is to manage the email, which helps companies to comply with legislation and industry guidelines on document retention; it could also be used to provide an archive repository for all other types of file.
